1. Setting Up Your RMA System

Before processing RMAs, the system must be properly configured to ensure seamless returns, repair processing, inventory tracking, and financial reconciliation.

🔹 Define RMA Codes and Defaults (MRK.CONTROL)

RMA Types are defined in MRK.CONTROL under the RMA Types tab. Each RMA Type Code determines:

✅ Default inventory locations for returned items.

✅ General Ledger (GL) accounts for financial tracking.

✅ Repair Work Order integration (if applicable).

✅ Whether the RMA posts to A/R for credit memo generation.

🔹 Work Order Integration

If an RMA requires a repair, it can be configured to automatically generate a Repair Work Order upon receipt.
The Work Order Type Code (WO.CONTROL) must be mapped to the corresponding RMA type.

WO.CONTROL allows defining Repair Type Codes that will be used when creating Repair Work Orders for returned items. Each Repair Type Code includes:

✅ Linkage to RMA types in MRK.CONTROL.

Once the RMAREC status is changed to “Confirmed,” the system moves the returned item into the Repair Work Order.

FAIL.CONTROL allows defining standardized Failure Codes for tracking product failures and repair trends.

✅ Only predefined failure codes can be selected when processing RMAs to ensure reporting consistency.

2. Processing Return Material Authorizations (RMA.E)

RMA.E is the primary tool used to create, track, and manage RMAs.

🔹 How to Enter an RMA (RMA.E)

1️⃣ Navigate to RMA.E and create a new RMA.

2️⃣ Enter the customer details and select the RMA Type Code (predefined in MRK.CONTROL).

3️⃣ If available, enter the original Sales Order or Shipment number to link the RMA to an existing transaction.

4️⃣ Decide if a replacement should be backordered on a Sales Order.

5️⃣ If applicable, use the RMA Type Code to generate a Repair Work Order for the returned item.

🔹 RMA Statuses

Open (O): Initial status when an RMA is created.
Closed (C): The RMA is automatically closed when all items are received and processed.

Each line item represents a specific product being returned.
Users can enter failure details when creating the RMA or during the RMA receipt process.

3. Receiving RMA Items (RMAREC.E & RMAREC.E2)

Once an RMA is created, RMAREC.E is used to receive returned items into the system.

🔹 Receiving RMA Items (RMAREC.E)

1️⃣ Enter the RMA number to retrieve the return details.
2️⃣ Enter the quantity received for each line item.
3️⃣ Any items not received remain in backorder status on the RMA.

🔹 Confirming RMA Receipts (RMAREC.E2)

4. Generating RMA Documentation

🔹 Print RMA Receipt Traveler (RMAREC.R1 & RMAREC.R2)

RMAREC.R1 → Prints a separate page per line item for detailed tracking.
RMAREC.R2 → Prints a summary traveler listing all received items and repair charges.

5. Reversing or Adjusting RMA Receipts

🔹 Reverse Posted RMA Receipts (RMAREC.E3)

✅ Used to reverse an RMA Receipt that has already been posted via RMAREC.P1.
✅ A debit memo is created in Accounts Receivable.

✅ Any associated Work Orders must be manually closed in WO.E.
